Financial & Administrative Officer


Job Title: Financial and Administrative Officer
Reports to: Executive Director
Status: Full-time, salaried
Location: Washington, DC

American Friends of UNRWA (UNRWA USA) is a 501c3 nonprofit organization that supports the work of UNRWA in the United States through fundraising, advocacy, and outreach. UNRWA (United Nations Relief and Works Agency for Palestine Refugees) provides humanitarian assistance, human development programs, and emergency relief to over 5 million Palestinian refugees living in Gaza, the West Bank, Lebanon, Syria, and Jordan.

The Financial and Administrative Officer position will support and advance the work of UNRWA USA primarily through financial and administrative tasks. S/he will also collaborate with the Executive Director, Communications Officer, and Partnerships Officer on development, communications, and event management work.

This position requires immense focus and attention to detail. S/he will be expected to take initiative, while working in a collaborative, fast-paced, creative environment with a small fundraising and communications team.

Primary responsibilities include:

Financial tasks:

  • Responsible for all day-to-day financial activities, including general ledger, monthly reconciliations, payables and receivables, month-end closing, and ensuring compliance with state and federal requirements;
  • Manage Quickbooks and bookkeeping, including profit and loss balance sheets;
  • Work with outside accountant to prepare and complete year-end audit and tax filings;
  • Establish, implement, and maintain sound financial management policies and systems;
  • Work with staff to lead and implement the annual budget process and specific budgeting for campaigns, programs, and events, as well as reporting including preparation, management and forecasting;
  • Prepare monthly and quarterly financial reports, reviewing and analyzing performance results, disseminating and presenting to senior staff, Board and others as required;
  • Continually monitor and analyze financial performance and develop financial projections and scenarios;
  • Provide advice and counsel to the Executive Director to ensure the organization's financial health and continued success;
  • Manage and monitor cash flow activities.

Administrative tasks:

  • Oversee contracting activities ensuring compliance with state and federal requirements;
  • Answer phones and email inquiries;
  • Open and distribute incoming mail and process outgoing mail;
  • Manage payroll and serve as a liaison to health and retirement benefits provider;
  • Maintain staff calendars and track paid employee leave;
  • Manage procurement, maintenance, and inventory of office supplies and equipment, and institutional files and records;
  • Update and maintain office manuals, and human resource documents, including strategic plans and internship handbooks;
  • Assist with business travel preparation; including travel logistics, reservations, and tracking expenses.

Development and communications tasks:

  • Work with the Communications Officer to manage the donor database (Raiser’s Edge), including processing donations and the creation of tax-receipts;
  • Register and maintain membership with critical fundraising and development programs, websites, and campaigns;
  • Work with staff to compile annual reports.

Event management tasks:

  • Collaborate on logistical preparations for events, including the signature Gaza 5K walk/runs;
  • Work with the Partnerships Officer to obtain in-kind donations for nationwide events;
  • Attend events on behalf of UNRWA USA.

Travel:

  • No travel is required for this position

Minimum Qualification Requirements:

  • A bachelor’s degree in a related field; master’s degree is a plus;
  • At least 3 years of relevant work experience in hands-on finance and administration, preferably at a 501c3 organization;
  • Advanced experience with QuickBooks, Microsoft Office, and Google Apps.
  • Impeccable attention to detail, outcomes, and deadlines;
  • Self-starter who is comfortable in a close-knit team-oriented setting;
  • Flexibility and eagerness to learn and work on different tasks as needed;
  • Experience with managing donor databases, especially Raiser’s Edge, is a plus;
  • A strong understanding of UNRWA’s work and the situation for Palestinian refugees is a plus;
  • Spoken Arabic language skills is a plus.

Grants Officer

Job Title: Grants Officer
Reports to: Executive Director

American Friends of UNRWA (UNRWA USA) is a US 501c3 nonprofit organization that supports the work of UNRWA in the United States through fundraising, advocacy, and outreach. UNRWA (United Nations Relief and Works Agency for Palestine Refugees) provides humanitarian assistance, human development programs, and emergency relief to over 5 million Palestinian refugees living in Gaza, the West Bank, Lebanon, Syria, and Jordan.

The Grants Officer will contribute to UNRWA USA’s fundraising and outreach capacity by effectively managing grants and other documents for fundraising and outreach purposes. This position requires immense focus and attention to detail. S/he will be expected to take initiative, while working in a collaborative, fast-paced, creative environment with a small fundraising and communications team.

Principal responsibilities:

Grants management:

  • Conduct the full range of activities required to prepare, submit, and manage grant proposals to foundations, organizations and individuals;
  • Work with the Executive Director to create long-term strategic plan for obtaining grants;
  • Perform prospect research on foundations, corporations, and government programs to evaluate opportunities for new funding resources;
  • Undertake all necessary follow-up work with UNRWA and report to the organization;
  • Work with the Executive Director to identify funding needs and strategic plans;
  • Collect data from UNRWA field offices in the Middle East to generate proposals and necessary reports for grant-makers;
  • Create and maintain a grants tracking and reporting management system, and maintain current records in an organized filing system for all grants materials;
  • Provide stewardship to current grant donors through communications on issues related to grants management and funder cultivation;
  • Meet with foundations and other prospects, when necessary;
  • Work with the Executive Director and Communications Officer to create other outreach, marketing, and development materials.

  • No travel is required for this position.

Minimum Qualification Requirements:

  • A bachelor’s degree in a related field; a master’s degree is a plus.
  • At least 3 years of professional work experience in writing, research, and strategic planning;
  • Strong written communication skills; ability to write clear, structured, articulate, and persuasive proposals;
  • Excellent attention to detail; Ability to prioritize to keep multiple projects moving in a timely manner, meet deadlines.
  • Demonstrated stewardship experience including generating thank you and acknowledgement letters; ·Comfortable working with budgets and interpreting financial statements;
  • High-level proficiency in Microsoft Office, Google Apps, Raiser’s Edge, and Foundation Center databases and other online research databases.
  • Self-starter who is comfortable in a close-knit team-oriented setting;
  • Flexibility and eagerness to learn and work on different tasks as needed;
  • A strong understanding of UNRWA’s work and the situation for Palestinian refugees is a plus;
  • Spoken Arabic language skills is a plus;
