Salesforce & Software Systems Administrator

Overview
The Salesforce & Systems Administrator (Systems Admin) will manage and strengthen UNRWA USA’s technology stack to ensure it effectively supports our mission and empowers our team. Serving as the in-house expert on Salesforce and integrated tools—including GoFundMe Pro (Classy) and other digital platforms—the Systems Admin will ensure these systems are fully optimized, integrated, and user-friendly.
Working closely with our IT partner, Palante Tech Cooperative, the Systems Admin will oversee the configuration, integration, and ongoing improvement of our platforms, with particular emphasis on Salesforce administration, data management, and user support.
The Systems Admin collaborates with the Director of Administration & Operations, Palante, and Operations Associate to strategize, select, integrate, and maintain the software and hardware tools UNRWA USA uses, ensuring they align with organizational goals, support efficient operations, and scale for future growth.
Key Responsibilities
Data Management & Hygiene
- Maintain high data quality standards, including deduplication, field validation, and routine cleanup. 
- Monitor and resolve data integrity issues to ensure accurate donor, grant, and stakeholder records. 
- Implement and enforce data entry protocols through user training and documentation. 
- Conduct regular audits of database health and take corrective measures as needed. 
- Maintain Kasaya backup. 
Reporting & Analytics
- Design and maintain reports and dashboards that track fundraising, events, and stakeholder engagement. 
- Create automated reporting workflows for recurring metrics. 
- Support ad-hoc data analysis requests and provide actionable insights on organizational trends. 
- Associate UTMs with all donations 
System Configuration & Integration
- Configure Salesforce fields, workflows, and automations to align with UNRWA USA processes. 
- Set up and maintain integrations with third-party tools (e.g., GoFundMe Pro, Apsona, Asana, Descartes, Quorum, Tableau, Yesware, Zapier, etc.). 
- Manage user permissions, profiles, and security settings in collaboration with the Director of Admin & Operations and Palante Tech Cooperative. 
User Support & Training
- Provide frontline technical support and troubleshooting for Salesforce and other core systems. 
- Deliver training for new users, system updates, and new feature rollouts. 
- Develop and maintain user documentation, guides, and best practices. 
- Serve as primary liaison with Salesforce support and coordinate advanced technical assistance. 
System Optimization
- Monitor system performance and storage, recommending solutions for efficiency and optimization. 
- Evaluate and recommend new features, apps, or process improvements. 
- Plan and execute system updates, releases, and migrations with minimal disruption. 
- Maintain secure backup and recovery protocols. 
Salesforce Account Engagement
- Support Communications and Fundraising teams in leveraging Account Engagement to strengthen external communications and donor engagement. 
Other Software & Tools
- Oversee and optimize use of GoFundMe Pro and other digital tools critical to fundraising, communications, and operations. 
- Identify opportunities to streamline workflows and improve staff experience across platforms. 
General
- Collaborate with Palante Tech Cooperative and the Director of Admin & Operations to align system administration with IT support, cybersecurity, and long-term planning. 
- Train and support staff in the effective use of technology tools.

Who you are:
You are passionate about UNRWA USA’s mission and an experienced Salesforce Administrator with a broader IT background. You have experience managing and optimizing Salesforce and other software environments and ensuring reliable, well-organized systems.
Qualifications
- Experience administering Salesforce (required), with preference for nonprofit or fundraising-related use cases. 
- Familiarity with GoFundMe Pro, Yesware, and other tech tools (or ability to learn quickly). 
- Strong troubleshooting and problem-solving skills. 
- Ability to translate technical solutions into accessible support for non-technical staff. 
- Collaborative working style, with the ability to partner effectively with external IT consultants and internal team members. 
- Commitment to UNRWA USA’s mission and values. 
Compensation
- $60-$100 per hour for 15-20 hours per week, depending on geographic location and depth of experience. Retainer structure is also an option. 
Proposal Submission Instructions
Qualified contractors are invited to submit a written proposal outlining their approach to serving as UNRWA USA’s Systems Admin. Proposals should follow the structure below to ensure consistent review.
Please submit proposals in PDF format using the following structure:
1. Cover Letter/Intent
- Brief introduction and statement of interest 
- Summary of relevant Salesforce and nonprofit systems experience - 2. Approach & Methodology 
- Description of your approach to Salesforce administration, integration, and data governance 
- Your philosophy on change management, user support, and documentation 
- A high-level outline of how you would structure the first 90 days - 3. Scope Understanding & Workplan 
- Summary of the scope as you understand it 
- A proposed phased workplan (e.g., discovery → stabilization → optimization) 
- Any key assumptions or dependencies we should be aware of - 4. Relevant Experience 
- Examples of similar projects or clients, preferably in nonprofit fundraising contexts 
- Salesforce certifications or experience with related platforms (Classy, Yesware, Zapier, Asana, Account Engagement, etc.) 
- Short case examples with outcomes or measurable results (anonymized if necessary) - 5. Security, Privacy & Compliance 
- Your practices for handling sensitive data, backups, and secure access 
- Experience coordinating with an external IT partner (e.g., Palante Tech Cooperative) - 6. Compensation Expectations 
- Your pricing model (hourly, monthly retainer, or fixed-fee by milestone)
