OVERVIEW
UNRWA USA is seeking an experienced and seasoned CEO and Board Support Officer to provide vital strategic and administrative support to the CEO and the Board of Directors. They will be an essential liaison between these groups, as well as between the CEO and the wider UNRWA USA team and external stakeholders. They will organize and coordinate the CEO’s executive outreach and external relations, and support special projects as may be required.
Reporting directly to the CEO, the CEO and Board Support Officer will be a main point of contact for the Board of Directors and will project manage all board meetings. They will be expected to remain in regular contact with the Board, the CEO and the Management Team keeping them informed of board and board committee activities.
The ideal candidate has excelled in this capacity before, possesses a deep understanding of board best practices and nonprofits, has the ability to work independently, is attentive to detail and highly organized. They have excellent written and verbal communication skills, can effectively manage time, priorities and projects and can maintain discretion and respect for confidential information.
What you will do:
Executive Support (50%)
Plans and manages a broad variety of administrative tasks for the CEO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; preparing briefing notes for meetings, arranging complex and detailed travel plans (domestic & international), itineraries, and agendas; and compiling documents for travel-related meetings.
Works with the CEO to track and monitor CEO initiatives including ongoing budget management.
Actively manages the CEO’s to-do list, compiling and prioritizing requests and needs from across the team, advancing the CEO’s aims, and ensuring balanced alignment within the CEO’s schedule.
Communicates directly and on behalf of the CEO Office with board members, internal departments and key stakeholders.
Takes notes, tracks action items and prioritizes conflicting needs to follow projects through to successful completion.
Follows up on contacts made by the CEO and supports the cultivation of ongoing relationships. Builds and maintains contact lists in Salesforce.
Assists in the planning of meetings and events including key advocacy moments, fundraising opportunities involving board meetings and staff retreats.
Board Support and Liaison (50%)
Serves as the Board of Directors’ main administrative point of contact.
Oversees the annual board calendar, leading logistical planning and scheduling of board meetings and committee meetings.
Works closely with the CEO, Board Chair and Board Secretary to ensure the timely preparation, publishing and distribution of materials (e.g., requests, agenda, schedules, notices, resolutions, etc.) for the board and board committee meetings.
Supports the CEO and Management Team with developing, compiling, editing and formatting board meeting presentations and materials. Advises the CEO and Management Team on action items related to board meetings and ensures their timely delivery.
Works with committee chairs and board members as needed to track action items and accomplish committee-related tasks.
Supports board recruitment, including prospect research, presentation preparation, and coordination of board orientation for incoming members.
Assists on special project management as directed by the CEO and the Board Chair.
Assists board members with travel arrangements, lodging, and meal planning as needed.
WHAT YOU BRING
The ideal candidate for this position will possess the following qualities and attributes:
Skilled administrator with at least 5 years working in Executive-level administrative and board support roles.
Proven ability to meet deadlines and effectively manage multiple tasks while utilizing superior organization skills with high attention to detail.
Strategic thinker with the ability to look ahead and advise.
Ability to work with minimum supervision.
Excellent written and verbal communications skills.
Availability to occasionally travel domestically as needed.
The ability to thrive in a fast-paced, do-it-yourself, start-up environment;
The capacity to manage multiple projects and assignments, often with competing deadlines;
Experience using Salesforce and/or other CRM systems;
Proficiency with Google Drive, Microsoft Office, particularly Word and Excel;
Ability to work some evenings and weekends.
